Renting directly from a landlord may reduce intermediaries, while an agent may help with viewings and administration. The important question is who is authorised to agree terms and receive money for the specific property.
Compare the service
Ask an agent what the commission covers and whether it includes assistance with registration or handover. With a direct landlord, establish who handles maintenance and tenancy administration. Obtain the same itemised cost statement in both cases.
Verify authority
Confirm ownership or management authorisation through the appropriate property channels. An agent's access to keys is not sufficient evidence of authority to collect a deposit. Match payment details to verified documents and resolve discrepancies first.
Keep agreements complete
Whether direct or agent-led, retain a signed contract, receipts and a condition inventory. Record promises about repairs, appliances and parking in writing. Do not accept a weaker paper trail because the arrangement feels informal or because the person says they have rented many apartments before.
Understand the roles in the transaction
An owner holds the property interest, a manager may act under authority and a broker can introduce parties or assist a transaction. The roles can overlap, but the authority for a specific act still needs evidence. Someone authorised to show a unit may not be authorised to receive the deposit or agree an early ending clause. Ask who signs and who remains responsible once you move in.
For direct letting, obtain the same ownership and identity checks that you would expect through a professional representative. A friendly meeting does not remove the need to match the owner, property and recipient. For an agent, check the relevant official professional channels and the relationship to the property. Within ADGM's jurisdiction, use its real estate framework rather than assuming the ordinary city process applies identically.
Compare what you receive for the fee
Ask the agent to itemise commission and explain what work it covers. Does the service end when a contract is signed, or does it include registration assistance, repair follow up and handover? Is a renewal fee proposed and, if so, where is it stated? Do not assume every task discussed informally is included in the fee.
A direct landlord may charge no broker commission, but you could need to coordinate more of the transaction yourself. Identify who prepares the contract, submits the relevant tenancy registration and organises building access. Compare the full package rather than treating the absence of commission as proof that the entire arrangement is cheaper or easier.
Verify the payment route before transferring
Obtain written instructions identifying amount, purpose and recipient. Compare them with the signed agreement and management authority. If an agent collects a deposit on the owner's behalf, ask how that collection is documented and who returns it. An account in a different name needs explanation before payment, not after a dispute develops.
Use a receipt that identifies the specific property and whether the amount is rent, security, commission or a reservation payment. Ask about refund conditions in advance. Do not pay merely because the representative says another applicant is waiting. A fast decision is reasonable only when the evidence is already complete.
Preserve the same standard of agreement
Whether the route is direct or agent assisted, request the draft contract and attachments before a major payment. Check property details, parties, dates, rent schedule, maintenance, renewal and early ending. Record promised repairs, appliances, parking and other material inclusions. A statement that the owner is flexible should become a specific written term where it matters.
Keep the final registered record and a documented handover. Tawtheeq applies to many Abu Dhabi tenancies; ADGM properties have a separate route. Ask the relevant registry which evidence should be available. An agent taking care of paperwork does not remove the tenant's need to review the record or keep a copy.
Know where the relationship continues
Ask who handles urgent repairs after possession and whether the contact is the owner, a manager or a contractor. A broker who introduced the apartment may have no ongoing maintenance responsibility. Save the right contact and reporting method before the first fault occurs. Keep the instruction with the signed agreement.
For a direct landlord living overseas, ask who can approve repairs and accept notices locally or through the required contractual channel. Time zone and contact gaps can matter during an urgent issue. The rental problem guide explains how to maintain a usable evidence trail if communication fails. Choose the route that gives clear authority, adequate service and accountable records for the specific property rather than assuming either direct or agent assisted renting is universally safer.
If representation changes during negotiations, ask the owner to confirm who is now authorised and whether previous written commitments remain accepted. Keep the earlier correspondence and avoid making duplicate payments to two contacts. A staff change can be routine, but the tenant should still know which instruction governs the transaction and how a payment already made is credited in the final account.
