Keep identity documents in a controlled private archive with recoverable backups and a clear record of what you share. Preserve official digital originals, limit unnecessary copies and protect the accounts that give access to them.
Separate documents from access credentials
A passport copy or identity card scan is sensitive evidence, but a password, PIN or one-time code can let someone act through an account. Do not store those credentials openly alongside the documents they protect. UAE Pass terms make users responsible for safeguarding account information and PINs.
Use a reputable password-management approach and secure the email account used for recovery. If your documents, email and recovery details all depend on one unlocked phone, losing that device can disrupt every part of your administrative life at once. Plan an independent recovery route.
Create a clear household structure
Organise records by person and document type. Keep a child's birth record separate from a parent's identity application. Use filenames that describe the document and issue date without placing complete identity numbers in every file name.
Within each person's folder, distinguish current records, superseded versions and applications still awaiting completion. A scan labelled final may no longer be current after a passport renewal or correction. Keep relevant historical documents where needed to explain an earlier name or number, but do not accidentally submit them as the current version.
Preserve the original digital file
Where an authority issues a signed or verifiable digital document, save that file as received. A screenshot can omit verification information, reduce readability and lose the properties that make the original useful. Keep a viewing copy separately if you need an easy reference image.
Do not edit an official file to change a name, date or other content. Request a formal correction from the issuer. If a digitally signed document is changed after signing, its verification may be affected. Retain the original and obtain the appropriately corrected or reissued version.
Make backups that you can actually restore
Use protected storage and maintain a separate backup suitable for recovery if the primary device fails. Consider encryption and account protection when choosing a storage service or external drive. A backup that requires access to the missing device for every recovery step may not solve the problem you planned for.
Test recovery using a non-sensitive sample file before depending on the arrangement. Check that you can open the file and identify the latest version. Keep devices updated and remove abandoned sharing links or old accounts whose security you no longer monitor.
Share only what the transaction needs
Verify the recipient and purpose before sending a copy. Ask why a complete document is needed and use the organisation's approved upload or communication channel. Do not distribute an entire household folder because one application requests a single certificate.
Where accepted, a purpose-labelled copy can help show why it was supplied, but never obscure information the legitimate recipient requires or alter an official digital original. Keep an untouched version separately. A watermark is not a guarantee against misuse and does not replace recipient verification or controlled access.
Maintain a simple disclosure record
For important documents, note the organisation, purpose, date and version shared. This helps explain which employer received an old passport copy or which application used a particular certificate. It can also identify who should receive an updated record after a formal correction.
Avoid turning the register itself into a large exposed database. It usually does not need complete document numbers, passwords or scans pasted into it. Its purpose is to track distribution and outstanding actions, while the underlying evidence remains in protected storage.
Treat unexpected requests cautiously
An unsolicited caller may claim your identity account will be suspended unless you share a code or approve a login. Open the relevant official app or contact the authority independently instead of following the caller's link. Approve only transactions you initiated and understand.
The UAE Cybersecurity Council's Stay Safe service can help assess suspicious links, but do not paste confidential document contents into an arbitrary website to test them. Link checking is one aid, not proof that every request on a site is legitimate. The recipient and transaction still need to make sense.
Prepare for loss, compromise or departure
Keep a short recovery checklist for a lost phone, stolen wallet or compromised email. It should identify the official support routes you would use and the order of urgent actions, without revealing the credentials themselves. Replacing a card, securing a SIM and recovering an account are separate tasks.
Review stored records after renewals, family changes and major applications. Remove unnecessary temporary downloads from shared computers and revoke sharing access when its purpose ends. The objective is not to collect every possible copy forever, but to retain authentic evidence you can recover, identify and share deliberately when a legitimate need arises.
For a shared household device, give each person an appropriate private area rather than leaving all records in the general downloads folder. Agree who can recover a dependent's records and use a legitimate representative process when an application requires one.
